  • Service Advisor

    Service Advisor

    Job Description

    Purpose of Position

    The purpose of the Service Advisor is to have a responsible person able to operate the daily business and manage the daily sales activities, either in association with, or in the absence of the business owner.

    Qualifications

    All Managers must be able to clearly demonstrate their ability to set and reach performance goals. They must conduct every aspect of their job in an ethical manner. They must have the ability to sell recommended service; interview employment candidates; manage and motivate the company’s personnel; work well under pressure; and resolve customer as well as employee issues in a professional, expedient manner. In other words, “to lead by example”.

    All managers must be able to work a minimum of 50 hours a week on a regular basis.

    A Service Advisor must also have the ability to manage and control the technical productivity as well as be productive themselves.

    Areas of Responsibility

    Unless otherwise specified, the Service Advisor is responsible of all the daily productivity in the business with the exceptions outlined by the owner. This responsibility includes but is not limited to a dedication: to the company’s mission statement, to employee development, to company profitability and to 100% customer satisfaction. Also, responsible for following the company policies and procedures as outlined here, in the employee manual and in task-specific procedures.

    Many of the Shop Manager’s responsibilities overlap with the Service Advisor’s and Office Manager’s responsibilities. They assist each other toward a common goal where teamwork is key.

    Specific Duties

    Daily

    • Open shop and get business going in the morning. (Refer to Store Opening Tasks)
    • Manage daily technical production including producing own work.
    • Order parts for specific repair others by telephone, fax, email and internet.
    • Use Protractor, Pro-Demand, AutoServe1, and service manuals to look up technical information.
    • Write up service jobs.
    • Add part numbers and canned jobs into software database as needed.
    • Write and sell service/repair to assist Shop Manager achieve monthly performance goals.
    • Customer pick-up or delivery (if no other option)
    • Wrap up business and close shop at the end of the day. (Refer to Store Closing Tasks)

    Weekly

    • Oversee Shop area, Shop equipment and parking lot clean up and maintenance.
    • Order parts for inventory.
    • Attend/Hold weekly meetings with staff.

    Semi-Monthly

    • Attend/Hold semi-monthly meetings.

    Monthly

    • Customer follow-up

    Annually

    • Assist owner in Technician Performance Review.

    Exceptions to Duties

    • Daily Bookkeeping/bank deposits/accounts payable/payroll
    • Alarm response after hours
    • Computer maintenance and software updates
    • Telephone systems programming
    • Coolant Recycling
    • Order parts for Inventory (if no other option)
    • Customer pick-up or delivery (if no other option)

    Lube/Tire Tech

    Job Description

    Purpose of Position

    The purpose of the Lube/Tire Technician is to have an ethical person with a good attitude, who is able and willing to learn. In addition, he/she is the front line in terms of identifying sales opportunities on vehicles brought into the shop for basic maintenance needs, specifically oil changes and tire repair, replacement. He/she must be willing to clean and maintain their work area, shop equipment and keep ample supplies of wheel weights, valve stems, tire repair materials and oil filters on hand.

    Qualifications

    All Lube/Tire Techs must be able to clearly demonstrate their physical and mental ability to perform services as well as detailed minor repairs. They must conduct every aspect of their job in an ethical manner. They must have the ability to explain the work needed to the service advisor and to work well under pressure.

    All Lube/Tire Technicians must meet or exceed the standards set by industry-recognized trade organizations. Lube/Tire Technicians must work towards ASE Certification within two years of being hired.

    Lube/Tire Technicians are required to have all of the necessary hand tools needed to efficiently perform their duties. They must be able to use and operate a tire changer, wheel balancer, tire repair stand and Tire pressure monitoring reset tool. In addition, they must be able to properly use a variety of air powered tools, floor jacks, oil drain and fill equipment. They must also have the ability and willingness to attend training classes. All Technicians must be able to work a minimum of 40 hours per week on a regular basis.

    Areas of Responsibility

Also, responsible for following the company policies and procedures as outlined here, in the employee manual and in task-specific procedures.

    Must work well with others as a team toward a common goal. He/she will have all work checked by a journeyman technician or service advisor/manager before being turned in as completed.

    Must commit to continuously educate them through industry-recognized classes, seminars, and tests to keep up with changes in the industry and new vehicles.

    Minimum Standard of Performance

    Fundamentals

    Prior to performance of any procedure, it is required that the technicians have a clear understanding of the customer complaint/request and that the necessary permission to perform the work has been granted. Verify appropriate tire type, and size, oil/filter combination specific to the vehicle. A vehicle inspection is to be completed on all vehicles regardless of service request. Before recommending additional services, the technician must assure that the customer complaint has been identified and addressed. Have journeymen technician confirm recommendations.

    Documentation

    All diagnostic procedures, findings, recommendations and services performed will be properly noted and documented, with a focus on DOT numbers on tires, filter number, and oil quantity in compliance with the procedures outlined by management.

    Replace Components

    When specified on technician's worksheet, all replaced components will be saved for return to the customer. When not specified, replaced components will be saved until the day after a vehicle is delivered (or picked-up).

    Final Test Drive

    All vehicles are to be inspected and test driven for the purpose of assuring that the customer complaint/request has been addressed. All vehicles are to be rechecked to assure the service was done in a professional manner, maintenance lights reset, oil change reminder stickers attached and the vehicle has been cleaned and readied for customer delivery.

    Specific Duties

    Daily

    • Immediate response to cleaning up spills.
    • Keep shop equipment clean and in good working condition.
    • Assist other technicians as needed.
    • Courtesy check.
    • Remove old tires from shop and stack in tire trailer.
    • Empty oil drains.

    Weekly

    • Clean tools and toolbox.
    • Attend shop meetings as required.
    • Assist with equipment maintenance.
    • Review tire supplies/reorder.

    Monthly

    • Thoroughly clean own service bay.

    Quarterly

    • Review goals with supervisor/owner as set forth in the performance review.

    Semi-Annually

    • Attend semi-annual shop meeting as required.

    Annually

    • Review performance with supervisor/owners.

    Job Description

    Purpose of Position

    The purpose of the Journeyman Technician is to have a highly trained and knowledgeable employee able to diagnose, inspect, repair, service and/or overhaul vehicle problems and maintenance.

    Qualifications

    All Journeyman Technicians must be able to clearly demonstrate their physical and mental ability to perform services as well as detailed minor repairs. They must conduct every aspect of their job in an ethical manner. They must have the ability to explain the work needed to the service advisor/manager and to work well under pressure.

    All Journeyman Technicians must meet or exceed the standards set by the industry-recognized trade organizations. Journeyman Technicians must be ASE Certified within two years of being hired and must complete master certification within four years of being hired.

    Journeyman Technicians are required to have all of the necessary hand tools needed to efficiently perform their duties. They must also have the ability and willingness to attend training classes. All Technicians must be able to work a minimum and produce a minimum of 40 hours per week on a regular basis.

Before recommending and teardowns, disassembly or internal inspection, the technician must assure that the customer complaint cannot be resolved by an external service, adjusted repair.

    Documentation

    All diagnostic procedures, findings, recommendations and services performed will be properly noted and documented in compliance with the procedures outlined by management.

    Mechanical Services

    All adjustments, repairs, and services will be performed in a manner as outlined in a recognized, professional publication. At no time will a minor (lesser) service be recommended when a more serious condition exists, or when the performance of a minor service many actually worsen a pre-existing condition, or cause a mechanical failure.

    When specific on technician’s worksheet, all replaced components will be saved for return to the customer. When not specified, replaced components will be saved until the day after a vehicle is delivered (or picked-up).
